Hours: Part-time, 1 day per week at 20hr/£140 per day

Art in Motion Charitable Trust (AIM) is a dynamic organisation that collaborates with
learning-disabled and Neurodiverse artists to make artwork.

create, and thrive within a supportive and dynamic art community.

The Role
We are looking for a highly organised and proactive Operations Administrator to support
the smooth running of AIM. This is a key role within our team, ensuring our administrative,
financial, and operational processes run efficiently. You will work closely with the Director
and provide essential support across the organisation, helping us maximise our impact
and continue our mission of making the arts accessible to all.
Key Responsibilities
Operations & Administration
Manage general office administration, including correspondence, filing, and data
management.
Support the development and implementation of organisational policies and procedures.
Maintain accurate records and assist with reporting requirements.
Act as the first point of contact for enquiries, directing them appropriately.
Support the organisation of meetings, taking minutes where required.
Finance & HR Support
Assist with financial administration, including processing invoices and expenses.
Maintain records of budgets and funding reports, supporting grant applications where
necessary.
Support HR functions such as recruitment administration, staff inductions, and maintaining
HR records.
Project & Event Support
Provide administrative support for AIM’s events, workshops, and projects.
Assist with booking venues, arranging access requirements, and coordinating logistics.
Liaise with artists, partners, and stakeholders to ensure smooth project delivery.
IT & Communications
Maintain internal databases and digital systems, ensuring accessibility.
Liaise with the communications manager to support website updates and social media
content, where required.
Support internal and external communications, including newsletters and reports.
Person Specification
Essential
Strong administrative and organisational skills.
Excellent attention to detail and ability to manage multiple tasks.
Proficiency in Microsoft Office (Word, Excel, Outlook) and/or Google Workspace.
Strong written and verbal communication skills.
Experience in financial or HR administration.
Ability to work independently and as part of a team.
A commitment to inclusion and accessibility.
Desirable
Experience working in the arts, charity, or disability sector.
Knowledge of accessibility practices and inclusive working environments.
